How long we keep your data
What ETRMPractice keeps, why, for how long, and how it is erased. These are our product rules; where a period is still being confirmed we say so rather than promise a date.
Your account, sign-in details and profile
- Why
- To let you sign in and use the simulator.
- How long
- While your account is open.
- Erasure
- Erased when you delete your account.
Your current practice workspace (synthetic trades, documents, payments, valuations and closes)
- Why
- It is the practice you are working on.
- How long
- While your account is open.
- Erasure
- Erased when you delete your account. A practice reset replaces it with a new version.
Practice data replaced by a reset
- Why
- So you can look back at it and switch back to it if you reset by mistake.
- How long
- We plan to keep it for 30 days after it was replaced and then remove it. Automatic removal is not switched on yet, so replaced practice data is still kept for now.
- Erasure
- You can ask for it to be erased sooner (Erase some of your data → Replaced practice data). It is also erased when you delete your account.
Learning history (reading progress, bookmarks, exercise attempts and achievements)
- Why
- To show your progress. It is kept when you reset practice.
- How long
- While your account is open.
- Erasure
- Erase it on its own, or delete your account.
Your activity log
- Why
- It explains how your current records came about and protects your account's security.
- How long
- While your account is open. You cannot edit it.
- Erasure
- Erased when you delete your account.
Guide usage records
- Why
- For fair-use limits, cost control and abuse prevention. We do not store your questions or the answers.
- How long
- We plan to keep them for up to 90 days. Automatic removal is not switched on yet, so older records are still kept for now. A practice reset does not remove them or refund your limit.
- Erasure
- Erased when you delete your account. If you ask to erase them on their own, this month's records stay until the month ends.
Guide conversations
- Why
- —
- How long
- Questions and answers are not saved by us as conversation records.
- Erasure
- Nothing to erase in our systems.
Feedback you send
- Why
- To answer you and improve the product.
- How long
- While your account is open.
- Erasure
- Erase it on its own, or delete your account. Copies in the support mailbox are handled by our email provider.
Plan records
- Why
- To give you the right access. Practice billing is simulated: there are no real payments yet.
- How long
- While your account is open.
- Erasure
- Erased when you delete your account, after any renewal has been stopped.
Real invoices and tax records (when paid plans go on sale)
- Why
- These may be required by law. They are kept apart from practice data.
- How long
- The period is being confirmed with our accountant; they are not deleted or kept indefinitely by default in the meantime.
- Erasure
- Detached from your account when you delete it and kept only as long as required.
Security and operations logs
- Why
- To keep the service secure and working.
- How long
- We aim to keep them for up to 90 days; this is still being confirmed with our hosting provider. Our own logs do not contain passwords, payment details or your questions.
- Erasure
- They expire on schedule; this never delays an erasure you asked for.
Backups
- Why
- To recover the service after a failure.
- How long
- We plan up to 30 days after the data was deleted from the live system; this is still being confirmed with our hosting provider.
- Erasure
- Backup copies are kept out of use and are never used for support or analytics. Deletions are applied again before any backup is restored.
A minimal record that a deletion happened
- Why
- To show we handled your request and to stop deleted data coming back from a backup. It holds a reference, dates, counts and scrambled identifiers (which still count as personal data).
- How long
- Until backups that could contain your data have expired, plus a short margin. The exact period is awaiting the owner's approval.
- Erasure
- Removed when that period ends.
Your choices
- Download your data at any time from Account → Your data.
- Erase some kinds of data and keep your account, or delete your whole account, from the same page; or ask support by email or letter. You do not have to use the button.
- We aim to finish within 28 days and at the latest within one month of receiving your request. If a request is complex we may need up to two more months; we will tell you why within the first month.
- Cancelling a subscription only stops renewal. It does not delete your account or your learning history.
- If you are unhappy with how we handled your data, you can complain to the Information Commissioner's Office (ico.org.uk).
